Kozminski University in Warsaw, one of the leading higher education institutions in Poland, has been using the Omega-PSIR system we implemented to manage information about science and research potential since April 2023. The goal of the entire project was to streamline the process of recording publications and knowledge management at the university.
In addition to the standard implementation of Omega-PSIR, which included the creation of a publication repository linked to the POL-on and PBN systems, Kozminski University benefited from additional services that further improve the efficiency and functionality of the system.
- Implementation of procedures for updating and verifying records: These procedures make it possible to confirm authorship, manage licenses, assign disciplines and set alerts. This ensures ongoing timeliness and accuracy of data.
- Integration with HR system: Connecting Omega-PSIR to a human resources system enables automatic updating of employee data, eliminating the need for manual entry of information and minimizing the risk of errors.
- Registration of Omega in the DRIS service: Registration in the DRIS (Data Repository and Information System) service increases the visibility of the university's data internationally, which supports networking with other research centers. Making work easier and saving time for Kozminski University employees
One of the most important advantages of implementing the Omega-PSIR system is that it significantly streamlines the work of the units responsible for knowledge management at universities.

Omega allows us to retrieve data according to different import methods, such as DOI, Bibtex or XML files. We can add these publications to our system much faster, which is a very big time saver for us.
This is a key change that enables employees to manage data more efficiently and organize their work better.
Thanks to the advanced features of the system, the staff of Kozminski University are able to quickly provide aggregated information on, among other things, the publication activity of employees, the collaborations undertaken with other universities at the level of cooperation between employees on projects, or the evaluation readiness of the university.
Thanks to the fact that various reports and summaries of the system can be prepared, we can prepare this data in a more accurate way and present it to the university authorities.

Building the competence of Omega-PSIR users
As part of the implementation of Omega-PSIR, care was taken to comprehensively prepare the main users, which allowed them to make optimal use of the new tool and provided an opportunity to develop new competencies. Employees of Kozminski University had the opportunity to participate in trainings organized by Sages and use the educational materials available online. The University continues to actively support the development of its employees by participating in webinars, user days and conferences related to the Omega-PSIR system.
Kozminski University is aware that proper use of the new system's potential can bring significant benefits, but it is crucial to ensure that all users are thoroughly familiar with it. This is why continued support and guidance for academics in using Omega-PSIR remains one of the university's priorities.
